IP Legal Administrative Assistant

San Jose, CA

We are currently seeking an IP Legal Administrative Assistant in our San Jose office. This position will be a member of a highly collaborative legal support team and will provide secretarial/administrative support to Partners, Associates, and Technical Advisors in intellectual property matters, with a primary focus on domestic patent prosecution and trademark filings. Responsibilities include: managing attorney dockets on a daily basis, processing and filing domestic patent applications with the USPTO, preparing and processing legal documents, correspondence and memoranda, drafting reporting correspondence to clients, and communicating and collaborating with clients and third parties as necessary. This role will also review and submit client invoices according to individual client guidelines, act as liaison between partners and clients as it relates to billing matters, work with partner and client teams to ensure accuracy and timeliness of invoices, and assist in billing dispute resolution with partner guidance.

This is a hands-on position that involves working within a team-oriented and client centered environment. The successful candidate will demonstrate excellent flexibility, organization skills, and be detail-oriented with strong communication and client service skills. One or more years of experience working on patent prosecution and patent/trademark in an IP law firm or corporate law department required. Experience with IP docketing systems, such as IP Manager, as well as working knowledge of IPDAS, PatentOptimizer, and iManage is strongly preferred. Additionally, this candidate should have thorough knowledge of Microsoft Office applications and be proficient with legal and patent terminology.

Docketing Coordinator

Houston, TX

We are currently seeking a Docketing Coordinator in our Houston office. This position will be a member of a highly collaborative administrative team and will calendar relevant and pertinent deadlines into the Firm’s docketing database to ensure the timely monitoring of all patent and trademark deadlines. Responsibilities include: daily review and processing of all incoming mail, including entering all necessary deadlines into docketing database, review and process outgoing USPTO mail and electronic filings for accuracy and completeness, generate and distribute daily and weekly docket reminder reports, monitor and update information on all U.S./foreign case records/related docket entries, including attorney responses, assist in auditing/entering/updating all IP matters transferred into the Firm, generate and prepare patent status and docket reports for lawyers and clients and other duties as assigned.

This is a hands-on position that involves working in a team-oriented and client centered environment. The successful candidate will demonstrate strong attention to detail, understand the importance of accurate work product and deadlines, and be client (internal/external) service focused. A high school diploma or equivalent certificate and 1 or more years of experience working in a law firm or corporate law department preferred. Proficiency in Microsoft Office and iManage/FileSite is required. Knowledge of IPManager/IPMaster is considered a plus.

File Management Coordinator

Houston, TX

We are currently seeking a File Management Coordinator in our Houston office. This position will be a member of a highly collaborative administrative team and will provide document/file management support to Partners, Associates, Technical Advisors, Administrative Managers and Legal Administrative Assistants in intellectual property and administrative matters. Responsibilities include: maintaining on-site file organization which will include filing and scanning, electronically sort incoming records by identifying, indexing and filing documents under their respective client matter numbers, save and organize documents into the firm’s document management system, close files per firm guidelines and client approval including a disengagement process when appropriate, ensure documents are scanned and processed correctly, assist in developing and maintaining matter closing process, manage all incoming/outgoing client physical files, and other duties as assigned.

This is a hands-on position that involves working in a team-oriented and client centered environment. The successful candidate will demonstrate strong attention to detail, exceptional project and general organization skills, and be client service focused. A bachelor’s degree, associate’s degree or equivalent education, as well as, 2 or more years of experience working in a law firm or professional services firm required. Proficiency in Microsoft Office, specifically Microsoft Excel, as well as iManage/FileSite is strongly preferred. Additionally, this candidate should have a thorough understanding of document management processes.

IP Litigation Associate
